Abstract Submission Guidelines

Starting from APVRS 2025 Manila, a new abstract protocol will be adopted. Before submission, please read the guidelines below.

The deadline for Abstract submission will be July 14, 2025 (Monday). Late Submissions will NOT be accepted.

All abstracts must be submitted in English exclusively via the congress system at http://congress.2025.apvrs.org. Submissions by post, email, fax, or any other means will NOT be accepted.

Presentation Types

Abstract submitters could specify the most preferred presentation type at abstract submission.

Submission

Content Items Requirement / Format
Title – The title must be concise. Avoid using abbreviations in the title.
– The title must not exceed 40 words.
Content – It is advised to include purpose, methods, results and conclusion.
– The abstract must not exceed 250 words.
– Do not include graphs, tables, images, and references in the abstract.
– Define each abbreviation the first time it is used in the abstract by placing what it stands for in parentheses.
– Remove the names of any affiliated institutes, academic institutions, hospitals, eye centers, and individuals involved in the study
Keywords – At most 5 keywords

The Selection Committee strongly recommends that the authors submit their abstracts as early as possible to avoid last-minute rush and system congestion. Abstract Submission can be saved as draft, and draft can be revised before submission. After the abstract is submitted, it is NOT allowed to be revised. If needed, the submitted abstract can be withdrawn by the submission deadline July 14, 2025 (Monday). Kindly note that only the submitted abstracts will be reviewed.

It is the author’s responsibility to submit an abstract with correct spelling and grammar. The Selection Committee, however, reserves the right to edit the abstract if it has significant spelling and grammatical mistakes.

Successfully submitted abstracts will be acknowledged with an electronic receipt including an abstract reference number, which should be quoted in all future correspondence. If you do not receive the acknowledgment within 24 hours upon submission, please contact the Congress Secretariat by email at secretariat@apvrs.org.

The 18th Asia-Pacific Vitreo-retina Society Congress holds the copyright to all the materials presented at the Congress.

    • Submitted Free Papers

Free paper submissions include an oral presentation. Accepted free paper presenting authors will need to present a talk of 5 – 8 minutes in-person during the APVRS Congress.

    • Submitted Posters

Accepted poster authors will need to present their abstracts using a physical poster. Posters should be a visual presentation of your accepted abstract.

No PowerPoint presentations are required for poster abstracts.

Accepted authors are required to print out the posters and mount them at the designated poster panels. Please read the specification of a poster carefully in Poster Presentation Guidelines, which will be available upon acceptance.

There will be Poster Discussion Session(s) held during the Congress, providing authors with the opportunity to present their work. The Secretariat will extend invitations to the respective authors to present at the Poster Discussion Session(s).

    • Submitted E-Posters

Any accepted e-poster authors will need to present their abstracts using one slide of e-poster. E-Posters should be a visual presentation of your submitted and accepted abstract.

Please submit the e-poster in the required format. Please read the specification of an e-poster carefully in the E-Poster Presentation Guidelines, which will be available upon acceptance.

The accepted e-poster slide must be uploaded to the Congress System no later than November 7, 2025 (Friday), which may subject to changes. Submission after the said deadline may NOT be considered.

No PowerPoint presentations are required for e-poster abstracts.

    • Submitted Videos

Video must be uploaded onto the congress system during abstract submission period. No changes can be made after the submission deadline.

All videos should be within 8 minutes in MP4 format. The video file size must be within 500MB.

Videos will be evaluated based on their scientific merits, educational values, originality, quality, conciseness, audio-visual effects, editing skills, etc.

No PowerPoint presentations are required for video abstracts.

Selection and Result Announcement

All submitted abstracts would be peer-reviewed by the Selection Committee. The review process is confidential, and the decision is final. Authors will be notified of the abstract selection results no later than late September 2025. Submitted abstracts will be reviewed and selected as illustrated in figure 1 below.

Results will be released in phases.

Please note that the abstract selection process is unidirectional. This means that a poster abstract receiving sufficient scores can only be accepted as a Poster or an E-poster, but cannot be upgraded to a Free Paper.

Abstract Submitter will receive abstract result email from congress system. According to the corresponding accepted presentation type, the abstract submitter can make final decision on the presentation type as illustrated in figure 2 below.

Awards

APVRS Best Abstract Awards

The APVRS Selection Committee will select the best abstracts in different presentation types of APVRS subspecialty abstracts, and the decision is final. The Best Abstract Awards will be presented at the award ceremony during the APVRS 2025 Congress, as outlined below.

    • Free Papers (5 awards)
    • Posters (5 awards)
    • E-Poster (5 awards)
    • Video (5 awards)

PAO Best Abstract Awards

The PAO Selection Committee will select the best abstract among the PAO subspecialty abstracts, and the decision is final. The PAO Category Abstract Awards will be presented at the award ceremony during the APVRS 2025 Congress, as outlined below.

    • PAO CATEGORY: Best Free Paper Award (per session)
    • PAO CATEGORY: Best Physical Poster
    • PAO CATEGORY: Best E-Poster

All winning authors will receive recognition in the APVRS Final Book and reserved complimentary tickets to the APVRS Gala Dinner & PAO Fellowship Night on Saturday, December 13, 2025. For APVRS 2025 Manila congress, APVRS Gala Dinner & PAO Fellowship Night are complimentary to attend while tickets are still required.

Winners must attend the Congress or nominate a representative to receive their award at the Congress.
